Coveto is a recruiting software company that helps customers manage the entire recruiting process, from job advertising to application collection, communication with hiring managers, and generating compliant contracts and rejection letters.
We talked to Christian Asche, who oversees the technical and marketing aspects, and Vanessa, who is the key user of Nusii in Coveto.
Before Nusii, Coveto struggled with an inefficient proposal process. They initially developed an in-house tool, but as Christian recalls:
Christian: We developed ourselves a tool to create contracts or proposals. But we constantly had to do changes and it was never really finished.
They then switched to using pre-filled Word templates, but it had its own set of issues.
Christian: We had to fill out everything, delete rows in the table, and add specific sections. And when you move an image just a little bit, the whole document goes crazy. It was awful. It took us ages to work with it, and it was really a hassle.
The stark difference with Nusii: edit & send proposals in just a couple of seconds
Everything changed when Coveto discovered Nusii at a conference.
Christian: We talked to Michael, and we thought, sounds like a good solution. And then Vanessa started to try it out. Everything has changed since then.
Vanessa, who handles most of the proposals, elaborated on the night-and-day difference:
Vanessa: Because we had the Word documents and we had to create PDF documents and send it to the prospect. And for example, if they wanted to change something, it was a lot more work to do, and it took a lot more time for me to change it and send a new PDF. And now with Nusii, it's like 2 seconds. I change it and I can send another email with a new proposal.
Christian also likes the ability to use templates but also switch sections easily to adapt to customers without making new templates every time.
Christian: You can swap out one section with another version in your template. And this is really smart because you can create multiple templates, but you can also just change the small parts that don't fit for a specific customer.
Minimizing back-and-forth with customers
When they were using Word templates, they sometimes had customers return the proposal with missing pages, causing even more friction to the process and possible frustration for the customer.
But now, Nusii ensures them they always receive complete, signed proposals from their customers.
Vanessa: With Nusii, customers get the whole proposal, about 25 pages, and if they sign it, it comes back to us with a signature. Nothing can be missing with Nusii.
This not only saves time and reduces back-and-forth communication but also helps maintain the integrity of the agreements between Coveto and their clients.
Easy enough for everyone to use
While Vanessa usually handles all of the proposals, Nusii's user-friendly interface allows other team members to step in seamlessly when needed.
Christian: If Vanessa is on vacation, anyone else can make the proposals because it's so easy.
Vanessa: If someone else has to do a proposal, we have documentation on how to do it. And so I think the handling is very easy.
Connecting Nusii and Coveto’s in-house CRM: pre-filled proposals
Coveto has their own CRM so they couldn’t use Nusii’s built-in integrations.
But with the REST API, it was a breeze to connect the two systems.
Christian: It took only 2 hours until we had the ability to push this customer data from our CRM to Nusii. This was really easy.
Thanks to this, Vanessa has one fewer step to take to make proposals.
Vanessa: Sending the data of the prospect that is in our system through the API to Nusii allows me to use it in Nusii. So I got the data of the prospect already in the system and don’t have to add it manually.
They also built a dashboard in their CRM showing on-going proposals and alerting them if any were getting too old.
Sending proposals faster allows Coveto to close more deals
One of the key benefits Coveto experienced was a substantial increase in conversion rate. One of the factors is the speed at which the proposal is sent.
Christian: Making proposals faster helps a lot because after the demo with the salesperson, we have to be quick to create the contract and the customer has to be able to see it immediately, because if we take too long, people start thinking: “do I need it really?” If they start to doubt, the lead gets colder.
Gauging lead interest through notifications & proposal status
Vanessa also explained how Nusii's notifications provide valuable insights into lead interest.
Vanessa: We can see if the prospect looked at the proposal, if they opened it. And so maybe we see they’re opening up the proposal every day. In that case, it means that they’re somehow interested in our product.
In the opposite case, if the lead hasn’t opened the proposal, Coveto will manually follow up and try to get a reply from them to try to close the deal.
Iterating on proposals to increase conversion rate by over 50%
Nusii proved invaluable for Coveto in identifying areas for improvement in their proposals.
Christian: With Nusii, we have a lot more data and we can analyze more of the data and see which proposals converted and which didn't convert. And because it's so easy to change the template, we can quickly create new versions, iterate on proposals, and try to find a better version.
By pushing the analysis further, they were able to increase the conversion rate by more than 50%.
