Proposal Settings

Each proposal has its own settings for how it looks, what your client has to do to accept it, and how it’s priced. You’ll find them all in one place, so you can fine-tune a proposal right before you send it.

Opening the Settings panel

Open a proposal and click the Settings button at the top of the page. It’s there in the proposal’s Overview, in edit mode and in Preview, so you can change a setting and see the result straight away in Preview. Changes save automatically.

Who prepared the proposal

Proposal prepared by lets your client know which team member prepared the proposal. It also updates the contact details shown on the proposal. Choose Do not display to leave it out.

Design

Please select design template switches the proposal between the Classic Theme and the Modern Theme. Only the Modern Theme has a cover image (see Update cover image). The default design for new proposals is part of your branding.

What your client sees

  • Table of contents: adds a table of contents to the proposal, built from your section titles.
  • Exclude final total: hides the final total from the proposal.
  • Exclude final total in PDF: hides the final total from the PDF only. See Exclude total from Proposal.
  • Send as a report: turns the proposal into a read-only report. The accept, reject and feedback options are removed. See How to send a Report.
  • Force signature: your client has to draw their signature before they can accept the proposal.
  • Hide “Prepared for”: hides the “Prepared for” client line on the proposal cover.

Taxes

Under Add tax to the proposal, tick the saved taxes you want on this proposal, or click Create new tax to add a new one. Taxes appear as separate lines in the totals box. See Taxes and How Proposal Totals Work.

Collecting a payment

Collect payment lets your client pay through Stripe right after they accept, and the payment percentage sets how much they pay upfront (for example a 50% deposit). This option is only available once you’ve connected Stripe. See Stripe Payment Integration.

Dates

  • Expiry date: after this date your client can no longer open or accept the proposal. They see “This proposal has expired” with your company’s email address instead. Adding an expiry date creates a sense of urgency and helps you plan your pipeline. See Setting an Expiry Date.
  • Custom display date: the date shown on the proposal. It defaults to the date you sent it, but you can pick another date or leave it empty.

Internal notes

Internal notes are for you and your team. Use them for context such as what you agreed on a call. They show on the proposal’s Overview and are never shown to your client.

Settings on a signed proposal

Once your client has signed, the proposal is locked and most settings can’t be changed. The panel says so at the top. Collect payment and Internal notes stay open. To change anything else, unlock the proposal first; see Editing an Accepted Proposal.

Template settings

Templates have a Settings panel too, with the same design, table of contents, total, report, signature and “Prepared for” options. Proposals you create from the template inherit these settings, so set them once on your template and every new proposal starts out right. Open the template from Library and click Settings while you edit it. Leave Design theme on Default branding to use your account’s default design.
